Privacy notice
How I use your details.
Last updated 23 October 2026. I’ve tried to keep this plain and short.
Who I am
I’m Kai Young, a sole trader offering private tutoring. I decide how and why your personal information is used, which makes me the “data controller” under UK data protection law. You can contact me at me@kai-young.co.uk.
What I collect
- When you enquire (form or email): your name, email address, optional phone number, the subject, the year group or level, whether you’d like in-person or online sessions, and whatever you write in your message.
- When we work together: contact details, session dates and times, payments, and short notes on what we covered and how it went, so each session builds on the last.
- When you use this website: my server keeps standard technical logs (IP address, pages requested, date and time, browser type). If you use the enquiry form, I also store a scrambled (hashed) version of your IP address, which I can’t turn back into the original, to limit spam.
Most enquiries come from parents or carers, so for anyone under 18 I deal with the adult responsible for them.
Sensitive information about a child
You don’t have to tell me about a child’s health, diagnoses, EHCP or support plan. If you choose to, that is health-related “special category” information. I rely on your explicit consent to use it, I only use it to plan and teach sessions, and I treat it as confidential. You can withdraw your consent at any time by emailing me, and I will stop using it and delete it unless I have to keep it for a legal reason.
Why I use it, and my legal basis
- Replying to enquiries and arranging sessions: taking steps at your request before a contract, and my legitimate interest in running my tutoring.
- Teaching and looking after the sessions: performing our agreement (contract).
- Keeping the website secure and reducing spam: my legitimate interest in protecting the site.
- Keeping payment and tax records: a legal obligation.
- Safeguarding: if I have a concern about a child’s or vulnerable adult’s welfare, I may need to act on it and pass it to the right people. That is a legal obligation and in the vital or public interest.
Who I share it with
I don’t sell your details, I don’t use them for advertising, and I don’t send marketing emails. I only share information with the services that help me run this website and my email, who handle it on my behalf, and with the authorities or other people where the law requires it or a safeguarding concern means I must. If a service handles data outside the UK, I rely on UK-approved safeguards.
Cookies and third parties on this website
- Browsing the pages doesn’t set any cookies. There is no analytics and no advertising or tracking.
- The enquiry page sets one security cookie that protects the form from forged submissions. It is deleted when you close your browser and isn’t used to track you.
- To display the fonts, your browser loads them from Google Fonts, which means Google receives your IP address and browser details when a page loads.
How long I keep it
- Enquiries that don’t go ahead: up to 6 months, then deleted. The copy saved by the enquiry form is deleted automatically after 6 months.
- Current students and parents: while we’re working together, and for up to 12 months after the last session in case you come back or have a question.
- Payment and tax records: for as long as the law requires.
- Website logs: a short period, for security and fault-finding.
How I keep it safe
Only I can access it. This website uses an encrypted (HTTPS) connection, and I limit what I collect to what I need.
Your rights
You can ask me to give you a copy of your information, correct it, delete it, restrict how I use it, move it to someone else, or stop using it where I rely on legitimate interests. Email me and I’ll reply within one month. There is no charge for a normal request.
Complaints
I’d like the chance to put things right first, so please contact me. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes
If I change this notice I’ll update the date at the top of this page.
